In Ukraine, almost nothing official can be done with a foreign passport on its own. Ukrainian state bodies, notaries, banks and registrars work in Ukrainian, and they accept a foreign document only together with a translation into Ukrainian whose translator’s signature has been certified by a Ukrainian notary. That is what people mean by a notarised translation of a passport, also written notarized translation, certified translation, or official translation.
You will usually be asked for one when you:
- apply for a temporary or permanent residence permit in Ukraine;
- register your place of residence, the Ukrainian address registration;
- obtain a Ukrainian tax number, the RNOKPP, formerly the identification code;
- open a bank account in a Ukrainian bank;
- register a company, become a director, or sign a power of attorney before a Ukrainian notary;
- buy or sell real estate, or register a car;
- marry in Ukraine, or register the birth of a child;
- file documents with a Ukrainian court or with the state archives.
A translation certified abroad, or a translation done by you or by a friend, is normally refused. The certification has to be made by a Ukrainian notary, who confirms the identity and the qualification of the translator who signed it.

Both prices are a single, final figure. They include our fee and the amounts we pay on your behalf to the translator and to the notary. Delivery by courier is the only thing charged separately, at the carrier’s cost. Where you need several documents translated at once, or a passport in a rarer language, tell us and we will confirm the price in writing before we start.
How it works
- Send us a scan. A clear photograph or scan of the passport page with your details is enough to start. Write to us with the purpose, because the wording of the translation depends on what the document is for.
- We confirm the price and the deadline in writing, and you pay. Express work starts the moment the payment lands.
- We do the work. A qualified translator prepares the Ukrainian text, we check it against the purpose you gave us, and a Kyiv notary certifies the translator’s signature.
- You receive it in the form you chose below.
How you receive the result
You choose one of the following, and we arrange it:
- Collect the original at the notary’s office in Kyiv. We tell you the address and the time, and the document is waiting for you under your name.
- A scanned copy by email, if what you need first is the text rather than the paper.
- Delivery inside Ukraine by Nova Poshta or Ukrposhta, to any branch or address you give us.
- Delivery outside Ukraine by DHL.
Courier and postal charges are paid separately, at the carrier’s own tariff. We do not add anything to them.
What we need from you
- A legible scan or photograph of the passport pages that carry your personal data, and of the page with the entry stamp where the purpose requires it.
- The spelling of your name as it appears in any Ukrainian document you already hold, if you hold one. Consistency of spelling matters: a different transliteration in two documents is one of the most common reasons a file is rejected.
- What the translation is for. A translation for a residence permit and a translation for a bank are not always certified in the same way.
We do not need your original passport. The notary certifies the translator’s signature on the translation, not your passport itself.
Questions we are asked
Do I have to be in Ukraine?
No. The whole order can be placed and paid for from abroad, and the result can be sent to you by DHL or held for you in Kyiv until you arrive.
Is a notarised translation the same as an apostille?
No, and the two are often confused. A notarised translation makes a foreign document usable inside Ukraine. An apostille makes a Ukrainian document usable abroad. If you were asked for an apostille on a Ukrainian certificate, that is a different service and we handle it on a separate page.
How long is a notarised translation valid?
There is no expiry date written on it. In practice, some authorities and most banks ask for a translation made within the last three to six months, and a new translation is needed whenever the passport itself is replaced.
My passport is not in English. Does that change anything?
Not in principle, but the price and the deadline can differ for less common languages, because the translator has to hold a qualification the notary will accept for that language. Send us the scan and we will confirm both before you pay.
Can you also make a notarised copy of the passport?
Yes. A notarised copy is a separate notarial act and is often required alongside the translation, for example for address registration. Tell us what the file is for and we will tell you which of the two, or both, the authority will ask for.
Do you handle documents other than passports?
Yes: birth and marriage certificates, diplomas, powers of attorney, company documents, court papers. The price differs by length and by document type, and we quote it in writing before starting.
